2025 Student Evaluation Program
CONSENT:
All parents of the SEP participants give permission to the Shore Music Educators Association (SMEA) to use the photographs or video of their children with appropriate captions in any of the SMEA publications, website, social media or newspapers for the purpose of promotion in Shore Music Educators Association. The teacher needs to receive permission from each parent as part of registration. (Teacher should provide each student with a copy of consent to sign when registering for this program.)

PURPOSE: To provide an opportunity for well-prepared instrumental and voice students of ALL levels to be evaluated in an informal setting. And, students shall receive positive and encouraging comments and suggestions from the adjudicator. This is NOT an audition or competition.
ELIGIBILTY: The teachers of participating students must be members of SMEA in good standing.
REPERTOIRE: At least two pieces. The final choice and amount of repertoire and/or studies are selected by the teacher; however, arrangements and simplified material will NOT be permitted. No photocopies, except for the paid photocopies directly from the composer or publisher of permitted version. The purchased receipt must be provided to the judicator. For non-piano instrumental solo, the acompanist is optional and will not be evaluated.
REGISTRATION:
- January 5 to January 15, 2025
- Registration package including (1) Studio Registration Form and (2) One Registration check/transaction from teacher. Check is payable to Shore Music Educators Association, or one transaction via Zelle account (njsmea@gmail.com) of Shore Music Educators Association.
- Mail the completed registration package by January 15th to Shore Music Educators Association, P.O. Box 4, Holmdel, NJ 07733
- Your Registration won't be processed until the completed registration package has arrived.
EVALUATION FEE:
- $35 (10 minutes) - for preschoolers only. 3 & 4 years old by February 1st.
- $40 (15 minutes)
- $45 (20 minutes)
- $55 (30 minutes)
- $95 (45 minutes)
- $110 (60 minutes)
- Please add an additional $20 for a duet team.
- No refund, no make-up and no transfer for any reason.
- Late registration will be accepted until February 1st. Late fee: $10 per student
- $10 charge also applies to each change from the original registrataion form for any resaon.
EVALUATION:
- The evaluation Date: Saturday, February 22nd or Sunday, 23rd, 2025. Time: TBD
- Teacher can choose which format your studio would prefer:
- (1) In-person at teacher's studio with a minimum of 5 (five) hours of evaluation time.
- (2) ZOOM Live Evaluation, no time limitation
- Only one format for each studio. NO hybrid in the same studio. NO video submissions. PLEASE NOTE: For safety and health concerns, SMEA will not provide a physical location for the SEP evaluation portion.
- It is the teacher's financial responsibility to use any facility. Each student will sign up for a 10, 15, 20, 30, 45 or 60 minute time slot. (10 minute slot is provided only for preschoolers of 3 & 4 years old by February 1st.) The teacher selects the appropriate time length according to the amount and difficulty level of repertoire. As a general guideline, allow about one quarter of the time for playing, the rest of the time for evaluation, mini-masterclass and written comments.
- Participants must bring in all books of working versions to the evaluation.
- In-Person Evaluation at teacher's studio: 5 (five) hour minimum of adjudication time is required for SMEA to send an adjudicator to a studio. Multiple teachers can combine for at least 5 hours, but, one studio/location only. Judge will not travel between studios/locations. And, it is teacher's responsibility to prepare all evaluation report sheets, a well tuned piano, a safe area for evaluation, and provide all the music scores of working versions to adjudicator(s). Teacher is also responsible to report the results to the Chairperson or designee, and submit the required information in preparing for the Award Recital and the Gold Medal Recital.
- ZOOM Live Evaluation: Teacher must have a PAID ZOOM service account and will be responsible for hosting and scheduling the evaluation along with adjudicator(s). There is no time limitation for the Zoom live evaluation. And it is the teacher's responsibility to prepare and mail evaluation report sheets and all music scores of working versions to adjudicators.
Teacher is also responsible to report the results to the Chairperson, and submit the required information to Chairperson or designees in preparing for the Award Recital. - VERY IMPORTANT TO NOTE: SMEA and adjudicator will not be responsible for extending or rescheduling the evaluation if technological difficulty or any interruption occurs from teacher or student during the evaluation. NO refund will be issued in any case. Other on-line format might be used, teacher must receive the permission from Chairperson before sending the registration, and the adjudicator(s) need to agree with the request.
- At the heart of this program is a mini master class conducted by the adjudicator. The adjudicator will be instructed to provide the age appropriate, positive and encouraging comments and suggestions to students.
- Only teachers can contact the Chairperson and their own adjudicator(s) for arrangements and scheduling.
- Performance from memory in evaluation is required to receive a medal. Performance at Award Recital must be from memory.
- Adjudicators must return the final evaluation results to the Chairperson within a week.
- The large studio might have multiple adjudicators or dates, due to the agreement between
SMEA and adjudicators. - Please contact Chairperson with any questions or concerns. Please contact Chairperson if you want to appeal for any result.
AWARDS: All students will receive a certificate for participating in the evaluation. Additionally, students may be awarded with one of the following, if: Gold Medal - memorized two pieces and performed with distinction.
Silver Medal - memorized at least one of two pieces and performed with merit to distinction.
- Students who have received Gold Medals for a total of 5 and 7 years (need not be consecutive years) will earn a trophy; those who have 10 or more years of Gold Medals will receive a plaque. The high school senior who has 8 or 9 years of Gold Medals will receive a plaque as well.
- Performance in the Award Recital is required in order to receive the trophies/plaques. $10 per performer. There will be no makeups. Exceptions will be considered only in cases of serious/contagious illness or death in the family when a doctor's note, or written proof (in case of death in the family) has been submitted. Teachers need to collect the fee and send one check/transaction to the chairperson at least two weeks prior to the recital day.
- Teachers need to plan for picking up certificates and awards at Recitals from the Chairperson or designee.
- To enhance and exchange the performance experience, all Gold Medal recipients for the non-Trophy or non-Plaque award year are highly encouraged to perform at the SEP Gold Medal Recital. $20 per performer. Teachers need to collect the fee and send one check/transaction to the chairperson two weeks prior to the recital day.
SPECIAL SENIOR AWARD: The High School seniors are welcome to apply for one of two categories for the SMEA Liu Family Scholarship. Please see SMEA Liu Family Scholarship website page for details.
GOLD MEDAL RECITAL: In Person
- Sunday, March 30, 2025, 3:15 PM
- Location: UUCMC, 1475 W. Front St., Lincroft, NJ
- Recital Fee: $20 per performer. Teacher must submit the recital fee in one check/transaction to
SMEA at least two weeks prior to the Recital day. There is no refund for any reason. An additional late fee or change fee of $10 per performer will be charged after the deadline. - Performers will receive their Gold Medal at the recital. There will be no makeup, no refund if the performer didn't show up for any reason.
- Students performing in the Recital must arrive at least 15 minutes before the curtain time. To respect all performers and attendees, please stay for the entire duration of the concert.
- Teachers must clear the Gold Medal Recital Day with students ahead of time. And sending teachers are expected to attend the recital in assisting students.
AWARD RECITAL: In Person
- Sunday, March 30, 2025, Starting at 2:30 p.m.
- Location: UUCMC, 1475 W. Front St., Lincroft, NJ
- 10$ per performer
- Teacher must submit the recital fee in one check/transaction to SMEA at least two weeks prior to the Recital day.
- Performance in the Award Recital is required in order to receive the trophy/plaque and the Gold Medal. There will be no makeups. Exceptions will be considered only in cases of serious/contagious illness or death in the family when a doctor's note, or written proof for death in the family has been submitted to Chairperson. A full recital fee is still required for any emergency issue to receive the trophy or plaque. There will be no makeup and no refund for any reason.
- Students performing in either Recital must arrive at least 15 minutes before the curtain time and stay for the entire duration of the concert, including the awards presentation ceremony. Those leaving early will not receive their awards. No exceptions.
- Students are encouraged to perform at both the Award Recital and the Gold Medal Recital. $30 per performer.
- Teachers must clear the day. and time for the Award Recital and the Gold Medal Recital with parents and students ahead of time. And the sending teachers are expected to attend the recital in assisting their students.
AWARD CREDIT TRANSFER:
- SEP committee accepts award credit transfer from MEA and SJMTA in New Jersey. The out-of-state organization must be an affiliate of MTNA. http://www.mtna.org/membership-information/find-a-state-affiliate/
- The teacher who has a request to transfer a student's award credit must submit sufficient documentation including the student's award certificate (with the year on it), audition comment sheet and Organiztion information.
- Transfer cannot be accepted if there is same year award record in SEP.
- Only the highest achievement award is transferable.
- Processing fee is $20 per transferring award credit (per year credit). Payment must be made payable to SMEA.
